Shift swap policy template (copy/paste)
A clear policy reduces last-minute chaos and makes coverage fair. Customize the placeholders for your business and local rules.
1) Eligibility
- Only trained employees may swap into a shift.
- Employees are responsible until the swap is approved.
- Swaps must not create overtime unless approved by a manager.
2) Deadlines
Swap requests must be submitted at least [24–48] hours before shift start. Emergency swaps require manager approval.
3) Approval process
- Employee offers the shift (public or targeted).
- Another employee claims it.
- Manager approves or rejects the claim.
- Schedule updates and both employees are notified.
4) Fairness and accountability
- Managers monitor weekends/nights distribution and total hours.
- Repeated no-shows after taking a swap may result in loss of swap privileges.
