Shift swap policy template (copy/paste)

A clear policy reduces last-minute chaos and makes coverage fair. Customize the placeholders for your business and local rules.

1) Eligibility

  • Only trained employees may swap into a shift.
  • Employees are responsible until the swap is approved.
  • Swaps must not create overtime unless approved by a manager.

2) Deadlines

Swap requests must be submitted at least [24–48] hours before shift start. Emergency swaps require manager approval.

3) Approval process

  1. Employee offers the shift (public or targeted).
  2. Another employee claims it.
  3. Manager approves or rejects the claim.
  4. Schedule updates and both employees are notified.

4) Fairness and accountability

  • Managers monitor weekends/nights distribution and total hours.
  • Repeated no-shows after taking a swap may result in loss of swap privileges.
